Terms and Conditions

Professional Deposit Policy for Epitome Valet Services

Deposit Requirements:

  • Deposits are not required for all bookings.
  • You will be clearly informed during the booking process if a deposit is necessary.
  • Deposit amounts will vary based on factors such as total cost, selected dates, and booking type.

Deposit Payment and Confirmation:

  • No booking will be confirmed or date secured until a required deposit is received.
  • Deposits will be deducted from the final payment at the time of service.

Rescheduling:

  • To reschedule a booking with a deposit, a minimum of 72 hours notice from the start time is required.
  • A partial deduction from the deposit may be applied to cover lost business opportunities due to rescheduling.
  • Any remaining deposit balance can be applied to the rescheduled booking.

Cancellation Policy:

  • Cancellations made within 72 hours of the scheduled booking, where a deposit was not previously required, will be subject to a cancellation fee of 60% of the total booking cost.
  • Cancellations made within 72 hours of the booking will likely result in the forfeiture of the deposit.
  • We will always attempt to accommodate rescheduling if your original booking can be filled, allowing the deposit to be transferred.

Weather Cancellations:

  • In the event of inclement weather deemed unsafe by the operator, your deposit will be fully refunded, and a rescheduled appointment will be offered.

No-show/missed appointments

  • If a client fails to attend a scheduled appointment without at least 72 hours prior notification from the booking start time, the full amount of 60% of the total booking cost will be payable by the client.  Non-payment of this fee may result in legal proceedings to recover the debt.

Epitome Valet Cancellations:

  • If Epitome Valet cancels your booking for any reason, we will strive to work in your best interest. Deposit refunds will be considered on a case-by-case basis.

  • This policy ensures fairness for both Epitome Valet and our valued clients.
  • We encourage you to contact us with any questions regarding deposits or our cancellation policy.

Payment Policy for Epitome Valet Services

Payment Methods:

For your convenience, Epitome Valet offers a variety of secure payment options:

  • Cash
  • Bank transfer (completed prior to vehicle collection)
  • Credit or debit card (chip and pin or contactless)

Payment Timing:

Payment is due in full at the time your vehicle is returned.  Unfortunately, we cannot release your vehicle keys until payment has been confirmed.

Epitome Valet prioritizes a smooth and secure experience for all clients. This policy ensures timely payment and protects our ability to continue providing exceptional service.

Legal Considerations:

While we strive to build trust with our customers, we also operate within a legal framework. We reserve the right to exercise lien rights in accordance with applicable laws to recover any unpaid service fees.  This ensures the sustainability of our business and allows us to continue offering competitive rates.

We Value Your Business:

Please note that enforcing payment upon vehicle collection is not our preferred course of action.  We encourage you to discuss any payment concerns with our staff in advance.


We can provide invoices in either digital or printed format. Please let us know your preference at your earliest convenience.

Pricing

Quoted Prices: The price quoted for your car detailing service will remain firm unless additional services or products are requested by the client.  In the event you wish to add services beyond those initially quoted, we will obtain your explicit confirmation before proceeding. This ensures transparency and eliminates the possibility of unexpected charges upon completion.

Quality promise

Final Inspection and Acceptance:

We encourage a thorough inspection of your vehicle upon completion of service to ensure it meets your expectations as outlined in your chosen package.  We are happy to provide ample time for this inspection and address any concerns you may have at the time of collection.


Warranty and Dispute Resolution:

While we strive for your complete satisfaction, we understand that minor issues may occasionally arise.  To ensure a smooth resolution process, please bring any concerns to our attention at the time of collection.  This allows us to promptly address the issue and achieve your satisfaction.  However, we remain committed to resolving any problems that may surface after collection, within a reasonable timeframe.

Vehicle condition and damages

Pre-Existing Vehicle Condition:

  • A visual inspection of your vehicle will be conducted upon arrival, and photos may be taken for reference.
  • It is important to acknowledge that some pre-existing damage may not be immediately apparent due to dirt or grime. The detailing process may reveal previously unnoticed imperfections or repairs.
  • Epitome Valet will not be held liable for damages demonstrably present before our service began.

Damage Discovery and Resolution:

  • In the event that serious pre-existing damage is discovered during the detailing process, we will promptly notify you and provide photographic evidence for your reference.
  • We take pride in our meticulous detailing procedures and strive to avoid causing any damage to your vehicle. However, in the unlikely event that such an occurrence takes place due to our actions, we are fully committed to a swift and satisfactory resolution. This includes repairs using the highest quality materials and workmanship.

Transparency and Communication:

  • We understand the importance of trust and open communication. Our detailed pre-service inspection process helps to mitigate potential misunderstandings.
  • Should you have any questions or concerns regarding pre-existing damage, please do not hesitate to discuss them with our staff before service commences.

Customer responsibilities

Customer Preparation:

  • To ensure a comprehensive cleaning experience, please remove all personal belongings from your vehicle prior to your appointment. This includes, but is not limited to, items such as: satellite navigation devices, dash cameras, sunglasses, owner's manuals, and contents of the glove box and center console.
  • Epitome Valet will not be held liable for any loss or damage to personal property left inside the vehicle during the detailing process.

Found Items:

  • In the event that any personal belongings are found in your vehicle during cleaning, we will carefully bag them and return them to you at the time of service completion. We take great care in the detailing process, but the possibility of accidentally overlooking an item cannot be entirely eliminated.

Child Seats:

  • Child safety seats are not included in our standard cleaning service. For the safety and well-being of your child, please remove any child safety seats from the vehicle before your appointment. We are unable to reinstall child safety seats due to potential liability concerns.

Acceptance of terms and conditions

Agreement to Terms and Conditions:

  • By confirming your booking with Epitome Valet, you acknowledge that you have read, understood, and agree to these terms and conditions.
  • These terms and conditions constitute a binding agreement between you and Epitome Valet.
